With the Strata Data Group, your Corporation’s interests will be fully protected, including a signed management agreement, setting out full details of the services that we provide, our charges, additional services offered, their costs and other relevant details that clarify responsibilities and arrangements.

You will be assigned one of our experienced Body Corporate Managers.  Our Managers are highly skilled in the resolution of disputes and can act as a mediator in many instances.

We have developed a comprehensive range of services, providing our client Corporations with efficient and cost effective management.  These include:

Administration [ top ]

Your Body Corporate Manager will:

  • ensure your Corporation’s compliance with the Community or Strata Titles Act.  This can only be achieved by a professional organisation with knowledge in this specialist field.
  • ensure your constitution, house rules or by-laws are monitored closely and adhered to, and that new owners are in receipt of this information prior to settlement.
  • provide management assistance and advice to the Corporation and its members.
  • publish a quarterly newsletter providing information on current, relevant body corporate matters as well as new or improved customer services provided by the Strata Data Group.
  • hold and maintain proper records for the Corporation’s books, records and other documents.
    We issue all necessary notices to the Corporation.
  • provide for the safe custody of, and supervise the use of the Corporation’s Common Seal and Certificate of Title if provided.
  • maintain the lot owner’s register and ensure that the relevant Legislation as well as the Privacy Act is adhered to.

Your Body Corporate Manager will:

  • arrange and attend your Annual General Meeting.
  • send an agenda, a proxy form and a financial statement to each lot owner prior to the meeting as legislated.
  • assist in conducting the meeting and the recording of Minutes, if required.
  • provide a budget estimate for the coming year.
  • prepare and distribute the Minutes of meeting and supply information on behalf of the Corporation as required by statute.
  • act upon instructions as recorded in the Minutes of meeting.
  • attend Annual General Meetings at our offices, your property, or another nominated location, either during the day or the evening.

Financial Management [ top ]

Our computerised accounting system ensures your Corporation’s financial records are updated daily.  Records are always available for immediate access and inspection.

We prepare and distribute account notices for maintenance contributions and levies.  Payments can be made at any Australia Post outlet in Australia and we also provide BPAY and EFTPOS facilities.  All funds are debited directly to the Client’s Trust Account, which is fully audited.

We:

  • follow up the collection of Administration and Sinking fund contributions and levies.
  • pay all of the Corporation’s accounts and other outgoings from their funds.
  • prepare budgets, financial statements of account and other reports to enable the proper financial control of Corporation funds.
  • maintain appropriate wage and related records required by law in respect of employees or contractors of the Corporation and lodge associated returns on behalf of the Corporation.
  • handle all the necessary banking requirements.  Funds are only invested according to the requirements of the Act and our arrangement with our banking group, for monies invested on behalf of our clients, ensures a satisfactory return.

Maintenance [ top ]

We have our own maintenance tradespeople on staff – one of the few companies able to offer this service.  We also engage professional contractors, ensuring that work completed is satisfactory prior to making payment.  Only qualified and approved tradespersons are engaged to carry out maintenance.  Your preferred tradespersons can also be used, upon request.

We have a licensed Building Inspector on staff who can meet with contractors on site, negotiate special terms according to your requirements, arrange tenders and ensure that inspections are carried out during work in progress.

We provide a 24-hour emergency line, 365 days a year.  This is not a paging service and always answered by one of our experienced staff.

As one of the very few companies with in-house insurance staff, Strata Data handles the entire claims process for you. Our staff has extensive experience, ensuring that you receive the best possible settlement.

We even arrange insurance for many entities that we do not provide the body-corporate management for.  Our policies have been developed specifically for Community and Strata Corporations and we are often able to deliver savings to our clients. We work with CHUU Insurance, specialists in the insurance market for over twenty-five years.  Their policies are backed by the strength of QBE Insurance (Australia) Limited.

We recommend that regular valuations be undertaken in order to ensure that the Body Corporate fulfils its legal requirements to insure for the full replacement / reinstatement value of the buildings and common area for Strata Titles, and of the common area and of the improvements on the individual lots, if so determined by the Corporation (as outlined in the by-laws) for Community Titles.
